The anticipated salary range for this role is between $80,000.00 and $130,000.00. The specific salary offered to an applicant will be based on their individual qualification, experiences, and analysis of current compensation paid in their geography and the market for similar roles at time of hire. SUMMARY:

Under the supervision of the Marketing Delivery and Controls Director, the Project Coordinator – Marketing Operations role will serve as a key partner in driving the successful execution of marketing strategies and initiatives. This role will coordinate, organize, and provide administrative and strategic support across a variety of marketing efforts ensuring alignment with business goals and regulatory standards, while fostering collaboration and continuous improvement across the team.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Project & Campaign Coordination

    • Build and maintain project documentation.
    • Lead and facilitate project meetings: prepare agendas, document meeting notes, and follow up on action items.
    • Collaborate with cross-functional teams to track project milestones and deliverables, ensuring adherence to timelines and process standards.
    • Support the execution of email and direct mail marketing campaigns, including segmentation, QA, deployment, and performance reporting.
    • Oversee and manage the marketing calendar and production schedules to ensure thorough documentation of executed campaigns.
    • Maintain comprehensive project documentation and records for audit readiness and knowledge sharing.

Process Improvement & Team Enablement

    • Support the documentation and maintenance of marketing processes, procedures and job aids.
    • Support testing, validation, and QC processes to ensure high-quality outputs.
    • Collaborate with cross-functional partners to identify and implement process improvements.
    • Foster a collaborative, solutions-oriented team culture by supporting colleagues and promoting open communication.

POSITION SPECIFICATIONS:

    • Minimum 3 years of experience in a Project Management/Process Analyst/Project Coordinator, or similar role; experience in financial services is a plus.
    • Bachelor’s degree or equivalent experience.
    • Understanding of business analysis techniques, including requirements gathering, process mapping, and workflow documentation.
    • Strong organizational and time management skills with the ability to manage multiple priorities in a fast-paced environment.
    • Proactive and independent problem-solver with a creative mindset.
    • Strong interpersonal and communication skills; able to work effectively across teams and levels.
    • Familiarity with project management methodologies and tools (e.g., Agile, Waterfall, Jira).
    • Familiarity with digital asset management systems is a plus.
